1. Purpose of Meeting

2. Meeting Notes, Decisions, Issues

• Fun Run – Saturday, February 7, 2009

    o Meet Friday, February 6, 2009 at Martin for fruit cutting – 6pm

    o Borrow tables/chairs from Martin

    o Tentative: Stephanie, Mary Alice and Mayra (1/2 day) – to have a table at Rogue Running for Packet Pick-up day and sell school store items.

    o At Fun Run, PF will sell food, school store merchandise and have a late registration table.

    o Parent Forum will collect all Fun Run proceeds and set a sub account for the annual Fun Run event.

    o Tentative: additional meeting with PF and Coach D/Janie Flores to organize tables, volunteers and items needed such as water stations/trash, etc…

• Other Miscellaneous Topics

    o Create Price Proposal form – signed agreement for future purchases/spending.

    o Discussion on purchasing a ream of UT letterhead paper. Estimated cost: $50

    o Tuesday, Jan 13th at 8am is the ribbon cutting ceremony for the new gym – Pictures needed for yearbook.

    o Councilman Mike Martinez can approve a fee waiver for Pan Am facility use for Fiesta Day.

    o Mary Alice needs to be added to the UT Parent Forum account at the UFCU.

    o UT Parent Forum account information should be immediately relayed to Mary Alice and Mrs. Chavez. Additional information will be relayed to members at Executive Board Meetings. Executive Board meetings will allow limited time with Parents and other guests as needed.

3. Topics for further discussion

• Tentative next meeting: Wednesday – January 28, 2009

• Fun Run – with Coach D and Janie Flores

    o How many tables (stations) needed from Parent Forum?

    o Water, Trash cans, etc… needed from Parent Forum?

    o Late sign-up registration?

    o Who will or has contacted volunteers?

    o Volunteer sign-up list and their assignments

    o List of outside vendors attending, if any

    o Time to meet on Saturday morning.

• Fun Run – without Coach D and Janie Flores

    o Review all price quotes brought to the meeting.

    o Decision on type of fruit, cup size(s), and fruit cup price(s).

    o Decision on other selling items and price.

    o When/who will purchase selling items.

    o Executive Board table/station assignments.

    o Food Permit

    o List of other items needed to keep food fresh and in compliance.
